Job Description

Office Manager Office Manager

We are seeking a highly organized and proactive Office Manager to oversee daily operations within a fast-paced electrical/construction office. This role is ideal for someone who can step in with minimal training, take ownership of administrative functions, and ensure smooth day-to-day workflow.

Key Responsibilities

  • Manage accounts receivable, invoicing, and collections
  • Prepare and process invoices using accounting software (e.g., QuickBooks or similar)
  • Handle incoming calls and provide professional customer support
  • Coordinate scheduling for field crews and job assignments
  • Maintain accurate and organized records (both digital and physical)
  • Communicate effectively with vendors, suppliers, and internal teams
  • Assist estimators and project managers with administrative support as needed

Qualifications (Required)

  • Proven experience as an Office Manager or in a similar administrative role
  • Strong proficiency in QuickBooks or comparable accounting software
  • Experience with billing, collections, and accounts receivable
  • Ability to work independently with minimal supervision
  • Excellent organizational and communication skills
  • Reliable, detail-oriented, and dependable

Preferred Qualifications

  • Experience in the electrical or construction industry
  • Bilingual (English/Spanish)
  • Experience coordinating field crews or job scheduling

Additional Information

This is an immediate hire opportunity. A short transition period will be provided for training with the current Office Manager before assuming full responsibilities.
